Submitting your salon acceptances to the club database
The club keeps separate records in order to track members’ progress and let them know when they have been promoted to a higher level. At a certain stage it becomes necessary to have images accepted at salons in order to progress, and we ask you to help us keep your records up to date by keeping a spreadsheet record and regularly sending it to us at info@fishhoekphotoclub.co.za.

Filling out the spreadsheet
Please open the spreadsheet and go to the sheet called “Examples”. You will see that our long-standing member, Piet Pompies, has received acceptances at 7 salons (he only records acceptances).
He has recorded key information about the acceptances, such as:
- print or digital
- salon name
- his name
- the name of each image that was accepted
- the category it was submitted under (at the specific salon, not at club – please use the salon category, as this might often be slightly different from the PSSA category it is based upon)
- The score received in order to get accepted
- the acceptance category: typically this is “acceptance” but may on occasion be a merit category, or even a top three position 🙂
And then in the final line he has indicated where the same image(s) may have been submitted several times and gotten over three acceptances. You may count no more than three acceptances per image, and so this line helps the record keeper to tally the total correctly. Note that images that are submitted unchanged between print and digital, or as both colour and (a desaturated version) as mono, are considered to be the same image, and as such should be added to the same total for that image. In the example, one of Piet’s images (“Around the tree”) has received five acceptances, and although one is a print and another is a mono, he has subtracted 2 from the total in order to bring that number down to three.
If you feel you understand what is required of you, please go to the sheet called “salon results” and enter your acceptances. Please be as comprehensive as possible: if you have been receiving acceptances for a while but have never done a salon spreadsheet, try and find all the old info and enter it.
Add lines as required to be able to enter more results.
Save the spreadsheet under your own name, and send it through to info@fishhoekphotoclub.co.za.
And finally – please update the same spreadsheet and send it to club every time you have more acceptances!
